**Summary Of the Role:**

The Remote Executive Assistant is the co-founder's administrative and strategic sidekick—positioned between him and the wider team to protect bandwidth, maintain alignment, and drive execution.

Operating in lockstep with leadership, you’ll participate in frequent Zoom sessions, translating vision and raw ideas into tangible actions while methodically capturing and organizing key information. You'll seamlessly step into diverse responsibilities, including workflow and project management, strategic research, stakeholder liaison, systems setup, knowledge documentation, recruitment coordination, communications mastery, and taking a front-row seat to the building and oversight of core business functions.

**Hours:**

* **Flexible Hours:** Structure your work schedule to meet deadlines while maintaining effective communication and alignment with stakeholders.
* **Meetings & Communication:** Most meetings fall between 14:00-16:00 PST.
* **Meeting Frequency:** Meetings are scheduled as needed.

**Key Responsibilities:**

* **Project & Workflow Management:** Building ClickUp boards, tracking tasks, timelines, and deliverables; ensuring clarity, accountability, and follow-through.
* **Research & Analysis:** Conducting market research, competitor benchmarking, legal research, business registration, or regulatory requirements, then summarizing findings into clear, concise recommendations.
* **Stakeholder Liaison & Coordination:** Communicating with external stakeholders—vendors, contractors, partners, lawyers, accountants—on our behalf; handling follow-ups and maintaining alignment.
* **Documentation & Knowledge Capture:** Creating SOPs, documenting processes, maintaining living knowledge bases in our Google Workspace and Clickup, ensuring key insights and lessons are captured and organized.
* **Operational Execution & Systems Setup:** Setting up and optimizing operational processes—financial tracking, invoicing, vendor management, onboarding workflows, etc.
* **Presentation & Reporting:** Translating raw concepts and strategies into clear, polished slide decks, dashboards, proposals, or reports for internal and external audiences.
* **Hiring & Recruitment Support:** Posting roles, screening candidates, coordinating & conducting interviews, following up with applicants, onboarding new collaborators, and ensuring all hiring processes run smoothly.
* **Communication & Scheduling Mastery:** Managing calendars, emails, prioritizing meetings, proactively handling communications to protect co-founders' strategic bandwidth.

**Requirements:**

_Experience/Background:_

* **3+ years** – Executive Assistant, Chief-of-Staff, Operations Manager, Project Manager, or comparable high-leverage role.
* **1+ year** **- LLM Usage:** Utilized any LLM model: ChatGPT, Gemini, etc., in real business contexts applied to any of the Experience/Background under Mandatory Requirements.
* **Cross-Functional Experience – cumulative 3+ years in ≥ 3 of the domains below: **
* **Ownership:** Business Ownership / Entrepreneurship 
* **Management:** Program / Product / Change / Community Management
* **Revenue Generation:** Sales / Business Development / Partnerships / Digital Advertising / Marketing 
* **Analytics:** Business / Financial / Data Analysis
* **Supply-Chain:** Procurement / Logistics / Manufacturing Operations 
* **Technical:** Engineering / Programming / No-code automations
* **Legal:** Risk / Legal / Compliance / Governance
* **People:** Talent Acquisition **/** Human Resources
* **Creative:** Content Creation / Graphic Design / Video Editing / Photography / Videography
* **Knowledge:** Technical Writing / Process Mapping / SOP Development

Tools/Skills:

* **Power-User**: ClickUp (or similar), Slack, Google Workspace, Zoom.
* **Generative-AI fluency**: ChatGPT, GPT builders, no-code automations; eager to test new tech.
* **Research & Analysis**: Turn complex data into concise, actionable insights.
* **Executive-Level Communication:** Crafts polished decks, memos, and stakeholder updates; superb written and spoken English.
* **Business & Contract Literacy:** Comfortable with budgets, vendor coordination, contract analysis and negotiation and P&L interpretation.
* **Computer Performance:** A reliable workstation or laptop with at least 16 GB RAM, and a quad-core (or better) CPU plus a stable ≥50 Mbps internet connection.
